Exporting Student and Volunteer Data
Overview
AnswersVBS digital tools include powerful data export capabilities, especially when you upgrade to the Digital Plus version. This feature ensures your registration data is accessible and usable in other applications and workflows.
Feature Availability
The data export feature is only available with the Plus version of the AnswersVBS digital tools.
Accessing the Export Feature
Log into MyAnswers.com
Click the People tab
Navigate to Students (or Volunteers)
Select Manage All Students (or Manage All Volunteers)
Click the Actions dropdown menu
Select Download Full Student List
The system downloads a file called participants.csv to your computer.
Understanding the CSV Format
What is CSV?
CSV stands for "Comma Separated Values"—a universal file format that works with virtually any spreadsheet program.
Compatible Programs:
Microsoft Excel (Windows)
Numbers (Mac)
Google Sheets
Any other spreadsheet application
You don't need to worry about technical details—just open the downloaded file in your preferred spreadsheet program.
What the Export Contains
Standard Data Fields
The exported spreadsheet includes all student information from your registration system:
First name
Last name
Email address
Date registered (automatically added by the system)
Age group/class assignment
All standard registration fields
Custom Fields
If you've customized your registration form with the Plus version:
Custom field names appear exactly as you set them up
Any additional fields you created are included
Custom data formats are preserved (like birthdate fields formatted as dates)
System-Added Fields
Some helpful fields are automatically included:
Date Registered: Shows when each student registered (useful for sorting or tracking registration trends)
Working with the Exported Data
Opening in Excel
When you open the CSV file in Excel, you may see a warning message:
"Possible data loss. Some features may be lost if you save this workbook in comma delimited CSV format."
What This Means: This is a standard Excel warning and not a concern for your data. However, if you plan to make changes and save the file, consider using Save As to save it as an actual Excel file format (.xlsx) instead of keeping it as a CSV.
Why CSV Format? CSV is a universal exchange format that ensures compatibility across different spreadsheet programs and systems. It's the standard way to share data between applications.

The exported file contains personal information
Store downloaded files securely
Delete files when no longer needed

If you export data multiple times during registration, label files with dates
